To make onboarding as smooth as possible, please have the following documents ready.
Required Carrier Documents:
- Voided Check: For payment and banking information verification.
- Signed W-9 Form: To verify your business's taxpayer information.
- Certificate of Insurance (COI): A current ACORD Certificate of Liability Insurance.
- MC Operating Authority: Your operating authority documentation issued by the Federal Motor Carrier Safety Administration (FMCSA).
- Truck & Trailer Cab Cards: Current registration documents for each truck and trailer being dispatched.
- Truck Photo: A clear photo showing your company name and USDOT number displayed on the truck, along with your MC number if displayed.
- Commercial Driver's License (CDL): A copy for each driver who will be dispatched through Kay Dispatch.
- Signed Dispatch Service Agreement: Once you're ready to move forward, we'll email you our service agreement to review and sign.
Step 2: Gather Your Documents
Step 3: Review & Finalize
Once your documents have been reviewed, your service agreement is signed, and onboarding is complete!
We'll also go over your business needs, equipment details, preferred lanes, and scheduling preferences to make sure we're on the same page.
Together, we'll agree on an official start date that works best for you and your operation, ensuring everything is in place for a smooth transition.

Step 4: Let's Get to Work!
Once your documents have been reviewed, your service agreement is signed, and onboarding is complete, it's time to get those wheels turning!
Kay Dispatch will begin searching for freight opportunities that align with your equipment, preferences, and business goals. We'll assist with broker communication, rate negotiations, and the paperwork associated with your loads.
Our goal is simple: help you spend less time managing the details and more time focusing on the road ahead.
